Privacy Policy

1. What this policy covers
This policy explains what data suku360 collects when a school, staff member, guardian, or student uses the Service, and how that data is used and protected.
2. Data we collect
- Account information: name, role, email or phone, and login credentials for staff and admin users.
- Student records entered by school staff: attendance, academic results, fee balances, and guardian contact details.
- Payment records: amounts, dates, and payment references for fees paid online. Card and Mobile Money details themselves are handled by our payment processor, not stored by suku360.
- Communications sent through the Service, such as SMS reminders and announcements.
- Basic technical data (e.g. device/browser type) needed to operate the Service reliably.
3. Student and guardian data
Student records are entered and controlled by the school, not by suku360 directly. suku360 processes this data on the school's behalf, solely to provide the Service. We treat learner data with particular care given its sensitivity, and it is never used for advertising.
4. How we use data
Data is used to operate the Service: recording attendance and results, generating report cards, processing fee payments, and sending the SMS/announcement communications a school configures. We do not sell personal data.
5. Who we share data with
We share data only with service providers needed to operate suku360, and only the minimum data each needs to perform that function:
- Our payment processor, to process online fee payments.
- Our SMS provider, to deliver parent notifications.
- Nyansa, a partner teaching and learning platform run by the same company, but only for a school that has both systems and has explicitly linked them. In that case we share a limited roster — student and staff names, emails, identifiers, and class or subject assignments — so matching accounts can be created there, and we receive assessment scores and topic mastery evidence back, not raw tutor conversations, that may inform that student's record.
6. Data security
We use reasonable technical and organizational measures to protect data, including access controls scoped to a user's role within their school. No system is perfectly secure, and we will notify affected schools of any breach as required by law.
7. Data retention
Data is retained for as long as a school's account is active, and for a reasonable period after to meet record-keeping and legal obligations. Schools can request deletion of their data subject to those obligations.
8. Your rights
Guardians and staff can ask their school, or contact us directly, to access, correct, or request deletion of personal data, consistent with Ghana's Data Protection Act, 2012 (Act 843).
9. Cookies
suku360 uses only the minimal cookies/local storage needed to keep a user signed in and remember basic preferences — not third-party advertising trackers.
10. Changes to this policy
We may update this policy as the Service evolves. Material changes will be communicated to school administrators.
